Access and Digital Keycard Policy

Learn how workspace access is granted, how digital access keycards work, and how access rules may differ across JustCo Store products.

The Access and Digital Keycard Policy explains how members and users gain access to JustCo centres, how digital access keycards are assigned, and what limitations or conditions may apply.

 

Essentials

  • Workspace access is granted through a valid digital access keycard or the applicable booking credential - not simply by being added to a company account.
  • Adding a user to the account does not automatically give that person workspace access.
  • Account administration and workspace access are separate. A user may manage the account without having workspace access, and vice versa.
  • Access rights depend on the product purchased, the assigned member role, and the access credential assigned to that user.
  • Building access and JustCo centre access are not always the same thing, and may be governed separately.

 

How this policy applies by product

This policy applies across JustCo Store products, but access works differently depending on the product booked.

  • Private Office: members receive digital access keycards. For Private Office members, the keycard may also be used to unlock the assigned office suite, subject to the applicable setup and access rules.
  • Dedicated Desk (Monthly) & Hot Desk (Monthly): access is provided through a digital access keycard assigned to the member.
  • Hot Desk (Day): access is granted through an activated Hot Desk (Day) pass for the designated centre and day. The pass provides access to common coworking areas and unassigned desks at that centre only, with multiple re-entry during Staffed Hours only. It does not create ongoing or recurring centre access beyond the activated day.
  • Virtual Office: Virtual Office members do not receive digital access keycards. Instead, they receive a Hot Desk (Day) pass once a month, which may be used for centre access in accordance with the applicable Day Pass terms.
  • Meeting Rooms / Event Spaces: access depends on the confirmed booking terms. If the user is already a JustCo member, their general centre access will follow their existing membership rights. Access to the booked Meeting Room or Event Space itself will still be governed by the booking terms, including the permitted entry timing for that booking.
  • Meeting Rooms / Event Spaces for non-members: if the booking is made by a non-member, access is limited to the rights granted under the confirmed booking. This does not create general access to the centre beyond the booked Meeting Room or Event Space.

 

What is a digital access keycard?

A digital access keycard is the access credential used in the JustCo App to enter the workspace where access rights have been granted.

A valid digital access keycard must be assigned before a user can access the relevant JustCo centre or workspace under the applicable product rules.

 

Does being added to the company account automatically give me workspace access?

No. Being added to the company account only creates the user profile and assigns the relevant account role.

Workspace access is only available after a valid digital access keycard or other applicable access credential has been assigned to that user.

 

Who can assign digital access keycards?

Keycards should be assigned by the appropriate company administrator, usually a Primary Member, through the JustCo App.

The number of available keycards depends on the applicable membership entitlement and product setup.

 

Can a user have account administration rights without workspace access?

Yes. A user may be able to administer the account - for example, as a Primary Member or Billing Member - without being granted workspace access.

 

Can a user have workspace access without account administration rights?

Yes. A user may be assigned a valid digital access keycard and access rights without being given administrative control over the account.

 

What is the difference between Home Centre access and access to other centres?

Access rights may differ between the member’s designated Home Centre and other JustCo centres.

For example, some memberships provide broader access rights at the Home Centre, while access to other centres may be limited to Staffed Hours or subject to additional product rules.

 

Does a digital access keycard also give me building access?

Not always. A digital access keycard grants access to the relevant JustCo centre where permitted, but building entry may be controlled separately by building management.

Separate building registration, building access procedures, or additional access arrangements may be required depending on the location.

 

Can a digital access keycard be reassigned?

Digital access keycards should only be assigned to the intended user. If access arrangements need to be changed, the assignment should be updated in the app before the keycard is used.

Misuse, unauthorised sharing, or improper reassignment of access rights may result in restriction of access or other action under the applicable terms.

 

What if my access is not working?

If your access is not working, first check:

  • whether your membership or booking is still active;
  • whether a valid digital access keycard or other applicable access credential has been assigned to you;
  • whether any account, payment, or verification issue is still pending; and
  • whether the location has any separate building access requirements.

Example 1 - Added to the company account, but no access

A company adds a new team member to the JustCo account as a General Member, but does not assign a digital access keycard.

Outcome: The user exists in the account, but cannot enter the workspace until a valid keycard is assigned.

 

Example 2 - Billing user without workspace access

A finance colleague is added as a Billing Member so they can review invoices.

Outcome: The user may access billing-related information, but does not automatically receive workspace access.

 

Example 3 - Home Centre vs other centre

A member has a valid Hot Desk (Monthly) membership linked to a specific Home Centre.

Outcome: The member may enjoy broader access rights at the Home Centre, while access to other centres may be subject to Staffed Hours or other applicable rules.

 

Example 4 - Building access differs from JustCo access

A member has a valid digital access keycard in the JustCo App, but arrives at a building that requires separate lobby registration.

Outcome: The member may still need to complete the building’s entry procedure before accessing the JustCo centre.
